FileReady LLC is a Delaware corporation that operates a cloud-based compliance management platform for commercial trucking fleets. Account Information
When you register for FileReady, we collect your name, work email address, company name, and billing details necessary to process your subscription.
Driver Data
Fleet operators upload driver records to the platform, which may include: CDL numbers, dates of birth, contact information, employment history, medical certificates, drug and alcohol test records, motor vehicle records (MVRs), and other documents required under 49 CFR Part 391.
SMS Communications
When a fleet manager sends a document upload request to a driver, FileReady collects the driver phone number solely to deliver a one-time SMS notification with a secure upload link. Phone numbers are not used for marketing. Recipients may reply STOP to opt out.
Usage Data
We collect basic usage data including login times, feature usage, and session duration. We do not use behavioral tracking, advertising pixels, or third-party analytics tools that share data externally.

We do not sell, rent, or share personal data with third parties for marketing purposes. We will never monetize your driver data.
Driver data stored in FileReady is uploaded and controlled by the fleet operator (the customer), not by FileReady. FileReady processes this data solely as a service provider under the customer's direction.
Drivers whose records are managed in FileReady should contact their employer directly to access, correct, or request deletion of their personal information. FileReady will cooperate with the fleet operator to fulfill such requests.

FileReady uses artificial intelligence to assist fleet operators in reviewing and interpreting driver qualification documents. When a fleet operator uses the document analysis feature, uploaded documents — which may include motor vehicle records, medical certificates, driver's licenses, and employment records — are transmitted to Anthropic PBC, a third-party AI service provider, for processing.
Anthropic processes this data solely to perform the analysis requested and is contractually prohibited from selling, sharing, or retaining covered data outside of the direct service relationship. Anthropic acts as a data processor under FileReady's direction. This arrangement is governed by a Data Processing Addendum (DPA) incorporating Standard Contractual Clauses.
Fleet operators who prefer not to use AI-assisted document analysis may upload and manage documents manually without using this feature.
Data associated with active accounts is retained for the duration of the subscription. Upon cancellation, customer data is retained for 90 days to allow for export or reactivation. After 90 days, data may be permanently deleted upon written request to sales@fileready.app. Data not explicitly requested for deletion will be automatically purged one year after account cancellation.
FileReady uses session cookies that are strictly necessary for authentication and maintaining your logged-in state. We do not use advertising cookies, third-party trackers, or analytics tools that share data with external parties. No cookie consent banner is required because we only use essential cookies.
Customers may request an export of their account data or request deletion of their account by contacting sales@fileready.app. We will process data export requests within 30 days. Deletion requests are processed within 90 days and are irreversible once completed.
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice within the Service at least 30 days before the changes take effect. Your continued use of the Service after such changes constitutes your acceptance of the revised policy.
